Who we are
AOW Group Ltd is the data controller for personal data collected through this website. We are registered in England and Wales under company number 14089346, with our registered office at 2nd Floor Sterling House, Langston Road, Loughton, Essex IG10 3TS. We are registered with the Information Commissioner's Office under reference ZB390453. You can contact us about data protection at hello@aowgroup.co.uk.
Data we collect on this website
This website does not use advertising or analytics cookies, and does not track you across other sites. We collect personal data only when you send it to us:
- Contact form. Your name, email address, organisation, optional phone number and message. We use this to reply to you. The form is protected by Cloudflare Turnstile, which checks that the submission comes from a person rather than automated software; Turnstile may process technical information about your browser for that purpose under Cloudflare's privacy policy.
- Email. If you email us, we keep the correspondence for as long as needed to deal with your enquiry and any subsequent relationship.
- Server logs. Our hosting provider (Cloudflare) records standard technical information such as IP address, browser type and pages requested, which is used for security and to keep the site running. These logs are retained for a short period.
Data we process when providing services
When we provide services to your organisation, we may process personal data on your behalf. For Daily DBS this is covered by the separate privacy notice and data processing agreement at dailydbs.co.uk, where AOW Group Ltd acts as processor for the organisations that use the service. For print management, security systems and IT support, we act as a processor under the terms of the agreement with your organisation, and access personal data only to the extent needed to deliver the service. CCTV footage on systems we install belongs to, and is controlled by, the organisation that operates the system.
Lawful basis
We rely on legitimate interests to respond to enquiries, run the website securely and administer our business relationships, and on contract where we provide services to you. Where we act as a processor, the controller determines the lawful basis.
Sharing
We do not sell personal data. We share it only with suppliers who help us run the business, under written terms: our email provider (Google Workspace), our transactional email service (Resend, EU region) used to deliver contact form messages, and Cloudflare for hosting and security. Where a supplier is outside the UK, transfers are covered by the UK International Data Transfer Agreement or the UK addendum to the EU standard contractual clauses.
Retention
Contact form enquiries and related correspondence are kept for up to two years after the last contact unless they lead to a customer relationship, in which case they are kept for the life of that relationship plus six years for accounting and legal purposes.
Your rights
You have the right to ask for a copy of the personal data we hold about you, to have it corrected or erased, to object to or restrict processing, and to data portability where applicable. To exercise any of these, email hello@aowgroup.co.uk. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes
We will update this notice when our practices change and show the date of the latest version at the top.
